Overbooking vs Soft Holds in TapGoods PRO
TapGoods PRO allows users to Overbook Inventory within the TapGoods PRO software. When an Item is Overbooked, the amount of Inventory ordered has exceeded what is available. This is a convenient feature for businesses that want to maximize Orders without the constraints of Order limits.
In TapGoods PRO, when more Inventory is booked than is available, you may receive a gray Soft Hold alert OR an orange Overbook alert. Whether you receive each type of alert depends on where you are in the Order process and is impacted by Order Settings.
So, what is the difference between a Soft Hold and an Overbooked Order?
What is a Soft Hold in TapGoods PRO?
Soft Holds appear as a gray triangle when the combination of all Items in any rental quotes exceed the amount available in Inventory. A Soft Hold is meant to alert users that if all or some quotes were converted to reservations, Inventory would be overbooked. These alerts can be toggled ON/OFF at users’ discrepancy. - Navigate to the Admin tab on TapGoods PRO.
- Scroll down to the Settings section and click on Order.
3. Scroll to the bottom of the Orders page and click on the dropdown arrow next to Inventory Soft Holds.
4. Toggle Inventory Soft Holds ON/OFF depending on preference.
With Inventory Soft Holds ON, Orders that are at risk of being overbooked will have a gray alert next to the quantity of the Item that is at risk. If Show Soft Holds is toggled OFF, this alert will no longer appear and be replaced with an overbooking alert.
What is Overbooking in TapGoods PRO?
An Overbooking in TapGoods PRO is a scenario in which the Inventory within an Order has exceeded the amount of Inventory available. For an Order to become an Overbooking, it must be converted to a Reservation or Checked Out status. It is important to note the points listed below.
- Orders with a Reservation or Checked Out status will reduce an Item’s available Inventory for the order’s timeframe.
- Orders that have a Quote status do not impact Inventory count and will not alert users of an Overbooking even if other quotes contain the same Items.
- If another Order has been converted to a Reservation, thus reducing the amount of Inventory available, any Order that is created and quoted that exceeds Inventory available will be automatically flagged as an overbooking even if the Order has not been converted to a Reservation.
If an Item has been added to a Quote with more quantity than there is Inventory available, then an orange alert will be shown in the Order header and next to the Item quantity on the Order Details page. If an Order has been overbooked, there will also be an alert on the Orders page of TapGoods PRO.
