How To: Create Scheduled Maintenance in TapGoods PRO
TapGoods PRO now offers Scheduled Maintenance, which allows you to set up automatically recurring Maintenance intervals or thresholds. This feature allows you to specify a usage threshold that will generate notifications to create a Maintenance Ticket for units that have reached the threshold.
It is important to remember that Items that are designated Serialized-Multiple cannot have Scheduled Maintenance because there are no individual units to track. Scheduled Maintenance Emails are automatically sent when Serialized Units reach a specified Usage interval or threshold.
Before you Schedule Maintenance for the units of a Serialized Item, you must customize Scheduled Maintenance Emails in Inventory Settings and enable Auto-Create Sched. Maint. If you do not enable this feature, notifications cannot be deployed.

When you create Scheduled Maintenance in TapGoods PRO, there are three options available regarding the timing of the notifications that are generated:
- Every: This option generates notification emails in intervals [Example: Cars need an oil change every 5,000 miles].
- Exactly: This option generates a notification email once a specific threshold is met. [Example: A battery must be replaced once the equipment has been used for exactly 2,000 hours].
- Less Than: This option is unique to the Gauge Usage Type, and triggers an alert once the Gauge is logged as less than the specified threshold [Example: Once a machine reaches ½, a notification email will be triggered to refill].
Scheduled Maintenance can be found in the Scheduled Maintenance tab of Item Details. To create a Scheduled Maintenance, follow the steps listed below.
- Navigate to a Serialized Item.
- Click on the Scheduled Maintenance tab.
- In Scheduled Maintenance, click Add Sched. Maint.
- Name the Scheduled Maintenance.
- Click the dropdown arrow to select a Usage.
- Select Every [Interval] or Exactly [Threshold].
- Enter the total Usage that must be reached to trigger an email notification.
- [Optional] Add a Note.
- Click Submit.
With Auto-Create Scheduled Maintenance enabled, Units meeting the designated Usage interval or threshold will automatically deploy a Scheduled Maintenance Email; this will not automatically remove Units from available Inventory and into Maintenance.
