Understanding the Inventory Availability Calendar

The Inventory Availability Calendar in TapGoods PRO is a monthly Calendar that you can use to track individual Items availability and the Orders they have been assigned to on any given day of the month.
To access the Inventory Availability Calendar, hover over Inventory and click on Calendar.
Using the Calendar View
On the top section of this page, you can view any particular item’s availability for a month at a time. Use the magnifying glass in the top left corner to search for an item. In this view at the top, you are able to see total quantity in your inventory in the location you are working in, total quantity in your inventory in all locations (if applicable), items in maintenance, and all pricing variations you have set up for this item. Use the blue arrows to navigate between months, and click into a particular date on the calendar to view more details regarding the availability for that day.
The buttons in the top right corner allow you to export the page to Excel or print to PDF.
In the calendar itself, each day depicts quantities of inventory available from your total count on that particular day, shown as location you are working in with no parentheses, and all locations within parentheses. In the example here, the brown couch is not on any orders for the month of September, so all dates depict 100 as that is the total amount in the inventory stock for this item. Note that if you are a single location company, you will not see any numbers in parentheses.
Click the Filter button to filter the view by Order Status or Location. Note that the page will default to Order Statuses of Reservations, Checked out, and Checked In, and default to all Locations, if applicable.
If you are a multilocation company, the summary view underneath the calendar is especially useful. You can use this to view quantity available, total quantity, and location, on any given date that you select from the calendar.
Using the Orders List and Inventory Timeline
The calendar view will depict dates where the item is overbooked as orange alerts, shown here on September 29 and 30:
To view further details, click into a date that has an overbooking. You will then see Orders populate in the Orders List, as well as an Inventory Timeline.
The Orders List shows all orders that fall within the date you have selected. You can view the quantity of the item needed for that order, order name, ID, status, dates, and location. You can click on the details of any of the orders to navigate right to that order.
The Inventory Timeline goes into further detail by providing a ledger of every instance of the item going out and coming back in, helping you easily determine availability of that item at any given time of any date. The Inventory Timeline shows your initial quantity of the item and the quantity in maintenance on that date. It then shows adjustment date and time, order name, and adjustment quantity in a ledger-style format. The balance, plus or minus the subsequent line’s adjustment, makes up the next balance, and so on.
Note that you can hover over any underlined text to view more details. For example, the 0 shown in the Haley’s Fall Festival lines are explained using the hover option, stating that this order has an adjustment of 0 to this item’s inventory timeline because all 100 needed for that order were subrented.
This hover over shows you important details regarding turnover time of the item and when exactly the item will be available again.
