NEW FEATURE | SELECT PLANS AND ABOVE | RESERVATIONS ONLY Multi-truck assignment (load lists) Allocate inventory from a single reservation across multiple trucks — with full control over how items are split, sequenced, and delivered. |
Overview
Multi-truck assignment gives operations teams precise control over how inventory is loaded and delivered across multiple trucks. Instead of putting everything on one truck, you can split inventory by section, by delivery timing, or by equipment type — and print individual load lists for each truck.
When to use this feature
• An order is too large for a single truck
• Inventory needs to be split for different delivery times or locations
• Specialty items (tents, staging, large equipment) must go on designated trucks
• Trucks are partially allocated to other orders and require load balancing
Before you start
| Multi-truck assignment only appears after an order is converted to a Reservation. The Load Lists tab will not be visible on standard orders. |
Step-by-step: assigning trucks & inventory
| 1 |
Open the reservation and go to Load Lists Open the order, then click the Load Lists tab. You will see two sub-tabs: Drop-off (with drop-off date and address) and Pickup (with pickup date and address). The workflow is identical for both. • Left panel: All unassigned inventory appears in a dark blue section, organized by the sections created during order entry (e.g., Reception, Cocktail Lounge, Ceremony). • Item counter: Tracks how many items have been assigned vs. the total — e.g., 0 of 19 items. Use this to confirm nothing is missed. |
| 2 |
Add trucks to the order Click the Add Truck button (blue button with a green plus sign) on the right side of the screen. A side drawer opens listing all available trucks. Select the checkboxes for the trucks you need, then click Submit. • Leave inventory not assigned: Inventory stays in the unassigned panel. Use this when distributing items across multiple trucks manually. • Assign all inventory to truck: Instantly puts everything on one truck. Best for single-truck orders where splitting is not needed. |
| 3 |
Assign inventory to trucks You can assign inventory by section (entire section at once) or by individual item. Both methods can be combined on the same order. • By section: Click a section header in the unassigned panel to select all items in that section. Choose a truck from the Select Truck dropdown, then click Assign to Truck. • Individual items: Select specific items from any section, choose a truck, and click Assign to Truck. • Assigned inventory appears under the truck on the right, still organized by section. The counter updates in real time.
|
| 4 |
Verify all inventory is assigned Confirm the unassigned panel shows 0 of [total] items before moving to routing. If inventory was added to the order after trucks were assigned, new items will appear in the unassigned panel automatically and the counter will update. |
| 5 |
Assign driver & crew (optional) Click Driver & Crew next to any truck to open the Edit Delivery Team drawer. Assign team members and their roles to each truck from here. |
| 6 |
Print load lists Click Print Load List to generate printouts. You have three options: • Combined list: All trucks in one printout, organized by truck and section. • Per truck: Select individual truck checkboxes to print separately. • Single truck: Print just one truck's load list at a time. • All printouts follow TapGoods' standard format: QR code, order number, order name, delivery and pickup times, contact info, notes, and inventory by truck and section. |
| 7 |
Access the routing map Click Show Route next to any truck to open the routing maps page. From there, drag and drop stops to adjust the route. The routing map will display all assigned trucks on the delivery day. |
Alerts & validation
The system surfaces two alert types to prevent errors:
|
Unallocated inventory Items on the order have not been assigned to any truck. On the routing map, this appears as an orange triangle (exclamation icon) on the affected truck. Clicking the alert links directly back to the order. |
Empty truck A truck has been added to the order but has no inventory assigned. Resolve by assigning inventory or removing the truck from the order. |
| The routing map will surface both alert types before a truck is dispatched — so you are never in a situation where a truck leaves with missing or incomplete inventory. |
Managing & editing truck assignments
• Click Remove Truck next to any truck. Assigned inventory returns to the unassigned panel. Remove a truck:
• Remove specific items from a truck — they repopulate in the unassigned panel for reallocation. Unassigned inventory:
• Click the dropdown caret next to any truck to expand and see all assigned items.View truck inventory:
• If items are added to the order after trucks are assigned, new inventory appears in the unassigned panel and the counter updates to reflect the new total. Order edits after assignment:
Print slips (Pick List tab)
| Print slips are a related but separate feature, available from the Pick List tab. They allow you to label grouped inventory pulls — for example, 30 linens pulled in groups of 10, labeled 1 of 3, 2 of 3, 3 of 3 — so consolidated palettes can be verified at load time. |
From the Pick List tab, click Print List to access three output options:
• Standard browser printout
• Download a ZPL file for a Zebra label printer
• Send directly to a connected Zebra printer
See the Print Slips knowledge base article for full setup and usage instructions.
