Serialized Inventory in TapGoods PRO
TapGoods PRO offers Serialized Inventory to help you keep track of important Inventory at your business. When you add Serialized Inventory to the platform, you can scan the Serial Number or Barcode of Items to add them to Orders, Check Items In and Out, and add them to Maintenance. When you utilize Serialized Inventory, keeping track of your Inventory is easier than ever. TapGoods PRO offers three types of Items:
- Standard: Items that are not tracked by Serial Numbers. These will be manually added to Orders, checked out, etc.
- Serialized: When an Item is Serialized, each Unit is assigned a Serial Number. This is useful for high-value Items that you want to track individually [examples: tractors, speakers]. When you create a Serialized Item, Serial Numbers will generate automatically for each Unit. If desired, you can also assign your own serial numbers to Items.
- Serialized-Multiple: When an Item is Serialized Multiple, one Serial Number accounts for all Units. This is useful for Items that you want to track as a group [examples: napkins, plates]. When you create an Item that is Serialized-Multiple, only one Serial Number will generate automatically.
Items are categorized as Standard or Serialized during the Item Creation process. You can also change an existing Standard Item to a Serialized Item at any time by editing it.

You can review the Serial Numbers on a Serialized Item at any time from the Item’s page, under the Serialized tab. To navigate to the Serialized tab on an Item, follow the steps listed below.
- Hover over Inventory on the TapGoods PRO menu.
- Click on Items.
- On the Items page, click on a Serialized Item [Serialized Items are indicated by a Barcode icon].
- In Item Details, click on the Serialized tab.
On the Serialized tab, all Serial Numbers currently generated for the Item are available for review.
On the Serialized tab, you can review all Active and Archived Serial Numbers. Active Serial Numbers are Serial Numbers that are assigned to a Unit. Archived Serial Numbers are inactive and are not currently assigned to a Unit. In each tab, Serial Numbers and Custom IDs are listed.
**Note: Serial Numbers can be automatically generated, but Custom IDs must be manually inputted. You can also manually input Serial Numbers from the Serialized tab of the Item’s Details.**
Additionally, you can review the following fields on each Serial Number:
- In Maintenance: If a Unit is in Maintenance, a blue checkmark will appear in this column.
- In Use?: If a Unit is currently rented out to a Customer and in use, a blue checkmark will appear in this column.
- Last Rented: The date that this Unit was last rented out will populate in this column.
- Date Added: The date that this Serial Number was created will populate in this column.
- Last Modified: The date on which this Serial Number was last modified will populate in this column.
If you want to move a specific Unit to Maintenance from the Serialized tab, click on the Tools icon. This will open a pop-up tab where you will officially submit the Unit to Maintenance. When the pop-up opens, the Serial Number next to the Tools icon will automatically populate; click Submit and Update Rental Inventory to submit the Unit to Maintenance.
If you want to print Barcodes for Serialized Units, you can either click on the Barcode icon next to an individual Serial Number OR click Print All Barcodes to bulk print the Barcodes for all Units on the Item.
Additionally, you can filter Serial Numbers by clicking Filter. Serial Numbers can be filtered by Date or Last Modified, and by Assigned or Unassigned Serial Numbers. It is important to select a Date Range to filter for by using the Calendars available in the Filter. When you are finished selecting your Filters, always click Submit to finalize your changes.
You can Delete or Archive Serial Numbers at any time from this page. To Delete or Archive an individual Serial Number, click on the X icon.
- Deleted Serial Numbers: These Serial Numbers are completely removed from TapGoods PRO and cannot be used again.
- Archived Serial Numbers: These Serial Numbers are simply removed from circulation and moved to the Archived section of the Serialized tab and you can go back anytime to reactivate the Serial Number.
Select whether you want to Delete or Archive the Serial Number, then click Submit. You can also Delete/Archive Serial Numbers in bulk by checking the box next to multiple Serial Numbers and clicking Delete/Archive All.
Once you have deleted Serial Numbers from TapGoods PRO, you can add them back in bulk by clicking Generate Serial Numbers or by uploading new Serial Numbers from a CSV.
